Introduction

This guidance has been designed to provide information to organisations wishing to arrange an event at a Trust-owned venue.

The guide gives general advice that should be used when arranging any type of event. However, it must be remembered that events can be extremely diverse, ranging from a simple car boot sale to a large outdoor carnival and therefore this guidance cannot be considered exhaustive. It is likely that additional guidance will be required for specialist events and larger scale activities.

Should you consider that more information is required there are many national associations and clubs who may be able to offer advice on specific types of event.

What type of event does this cover?
There are many different types of events organised by local organisations within local communities. The advice in the above packs covers a wide range of events, such as: marches, parades, motorcades, fun runs, road races, cycle races, charity walks, charity stunts, festivals, music, concerts, shows, fetes, street parties, motor sports, firework displays, country fairs, community celebrations, etc. 

This list is not exhaustive.

What else do you need to consider?

  • Do you need any special licences or permissions?
  • Is the site suitable for your event?
  • Have you carried out risk assessments to make sure you have all the necessary health and safety measures in place?
  • Have you decided who should be responsible for the safety at your event?
  • Have you provided necessary information, for example maps and site plans?
  • Do you know how many people you are expecting?
  • Do you know where the entrances and exits on your site are?

Please note: except for emergencies, the emergency services may charge if you need them at your event.

Remember: careful planning and organisation will help ensure your event is successful and, above all, SAFE.
